Privacy Policy

This Privacy Policy describes how Aligned Executive Solutions, Inc. ("we," "us"), operator of the PharmTech.AI website and services ("Services"), collects, uses, and protects personal information.

1. Information we collect

We collect only what you provide and what is needed to operate the Services:

• Contact information you submit — your email address (and any message you send us) when you request The Warning Letter Brief or ask about a custom build.
• Your stated interest — whether you selected the free Warning Letter Brief, a pilot, or both.
• Basic technical logs — standard server/security logs (e.g., IP address, browser type) generated when you visit. We do not use advertising or cross-site tracking cookies. On our sign-in page and on the subscription forms on our homepage we use Cloudflare Turnstile, a bot-defense check that examines technical browser signals (for example, your IP address and browser characteristics) to tell people from automated abuse.
• Account & sign-in — if you create a free account, we store your email address and basic sign-in activity (when the account was created, your last sign-in, and a sign-in count). Sign-in is passwordless: we email you a one-time link, and once you use it we set a secure, HttpOnly session cookie so you stay signed in (about 30 days). That cookie holds only a random session identifier — never your email or any personal data. One-time sign-in links expire in 15 minutes and work once.
• Browser storage — while you're signed in, we save a tiny non-identifying flag in your browser's local storage (the value "1" — no email or personal data) so the homepage can show your signed-in state immediately. Some of our tools — the free readiness drill and the study designer — also save your working state (drill runs, draft studies) in local storage on your device. All of it stays on your device and is never sent to us. The full list is in our Cookie Notice.
• Survey responses — if you take one of our demand surveys, we store your answers (organization type, role, company size, product types, your trade-off choices, and any optional comment you write). No personal information is required to participate, and we do not store your IP address with your response. If you give us an email address for your report, it is stored with your response. Full details are in section 6 below.
• Voice dictation — our Batch Record Generator demo offers optional voice dictation using your browser's built-in speech recognition. If you choose to use it, your browser — with your permission, and under your browser vendor's privacy terms — may send that audio to the vendor's speech service for transcription. We never receive or store your audio or the transcript; entries stay in the page until you export them.

2. Cookies and similar technologies

We do not use advertising or cross-site tracking cookies, and a first visit sets no first-party cookies at all. The site sets one first-party session cookie — only after you sign in — plus the on-device browser-storage items described above and listed in full in our Cookie Notice. If we measure site traffic, we use Cloudflare Web Analytics, a privacy-first service that sets no cookies, stores no personal information, and does not track individuals across sites. Every cookie and storage item, what it does, and how long it lasts is listed in our Cookie Notice.

3. How we use it

We use your information only to: (a) send the materials you requested; (b) respond to your inquiry; (c) operate, secure, and improve the Services; and (d) comply with law. We do not use it for unrelated purposes without your consent.

4. We do not sell your personal information

We do not sell or rent your personal information, and we do not share it with third parties for their own marketing. We share it only with service providers who help us operate the Services (for example, our hosting and security provider and our email-delivery provider) under confidentiality obligations, or where required by law.

5. Email communications

If you subscribe, you may unsubscribe at any time using the link in every email or by emailing info@pharmtech.ai. Every commercial email we send will comply with the federal CAN-SPAM Act — including a valid postal address and a working unsubscribe mechanism — and we honor opt-out requests promptly.

6. The demand survey

Survey responses are used to prioritize what PharmTech.AI builds next. No personal information is required to participate. If you provide your email, we use it to send your report and, only if you tick the box, our briefs — never sold, and shared only with the service providers who deliver your report (our email service).

Responses are stored first-party in our database (Cloudflare D1). We do not store your IP address with your response; anti-abuse rate limiting uses short-lived hashed identifiers only. Any free-text comment is optional, and we ask you not to include confidential or product-specific information in it. Responses are kept for 24 months, after which any email address is removed and only anonymous responses remain, with no email attached. Your email and your answers are both deleted on request at any time — email info@pharmtech.ai. Emails we send include our postal address and a way to unsubscribe.

7. Data retention & security

We retain your information only as long as needed for the purposes above or as required by law, and delete it on request. Specifically: one-time sign-in links expire in 15 minutes; sign-in sessions expire after about 30 days; expired links and sessions are purged automatically; and account records (your email and basic sign-in timestamps) are kept while your account is active and deleted on request. Signed-in members can also export a copy of their data or delete their account — immediately, self-service — from the account page. For anti-abuse rate limiting we do not store IP addresses at all: we store only a short-lived one-way hash of the address, which is purged automatically after one hour. We use reasonable administrative and technical safeguards to protect your information. Paid pilots are governed by their own written agreements, which control how customer inputs are handled — including confidentiality, no use for model training, and deletion.

8. Your California privacy rights

This site honors the California Online Privacy Protection Act (CalOPPA). If the California Consumer Privacy Act (as amended by the CPRA) applies to us, California residents may have rights to know, access, correct, delete, and opt out of "sale"/"sharing" of personal information; we do not sell or share personal information as those terms are defined. To exercise any right, email info@pharmtech.ai — account holders can also use the export-your-data and delete-account controls on the account page. We will not discriminate against you for exercising your rights.

9. Do Not Track and Global Privacy Control

We do not track users across third-party websites. Because we do not sell or "share" personal information, there is no sale or sharing for browser signals such as "Do Not Track" or Global Privacy Control to opt out of; we treat all visitors the same way. We do not knowingly permit third parties to collect personal information about your online activities over time and across different websites when you use the Services.

10. Children

The Services are intended for business professionals and are not directed to children under 16. We do not knowingly collect information from children.

11. Changes

We may update this Policy; we will post the revised version here with a new "Last updated" date.
